ResponsibilitiesWhat we’re looking forWe are looking for a Distribution Manager to join our dynamic team. The role is physically located at New Germany DC and will be reporting to the CDC Manager. The role is responsible for ensuring timely and complete delivery of stock to customers is a top priority. This involves overseeing the management of distribution staff, including drivers and van assistants, to ensure efficient operations. Additionally, it is imperative to always maintain all vehicles in a roadworthy condition to uphold safety standards and minimize disruptions in the delivery process.The successful candidate will also be responsible for the following:Manage the daily operation of distribution activities and secondary distribution fleet of vehicles and staff.Ensure timely deliveries to customers (manage the transport arrangement collection and deliveries) by communicating and liaising with Customers on store management level.Ensuring effective distribution of product to all outlets to achieve 100% customer satisfaction at all times.Maintain control in Despatching of stock to ensure that all stock items can be accounted for at all times.Establish a smooth control of the POD’s process by ensuring there is no outstanding POD’s on a daily basis.Identify POD challenges from Customers and inform staff and other business process owners to update and address the POD requirements.Manage stock shortages (claims) by Drivers and discipline staff not complying with the Company policy and procedure.Verify that staff adhere to the HHC’s process as per the policy and procedures i.e. Zero settlement on a daily basis, electronic credit notes at point of purchase, etc.Approve and authorise route end cycle count on a periodic basis to maintain accurate stock control on HHC’s.Management of secondary distribution fleet maintenance and operational aspects in conjunction with Fleet Controllers.Report on all accidents and incidents occurring relating to fleet and submit documents timeously to the relevant department/s.Participate on the warehouse wall to wall cycle counts; assess and review processes especially affecting distribution/key accounts operations.Development and motivation of the Delivery Drivers and Crews with the purpose of achieving customer satisfaction and timeously adhering to delivery schedule. Handling of all Industrial Relations and disciplinary procedures.Other daily tasks associated with distribution management and customer service.Adhere to and promote EHS and Food Safety Requirements.SDCADefine department using SIPOC Model Clearly defined PI’s and KPI’s and process maps to task levels for the department Effective SOP’s for all critical task’sSound and effective SLA’s.Effective routines and Review’s MCRSMeeting schedule / All Departments – Meeting matrixReminders – structure for visibility and adherenceCost:Effective management of overtime costs within budget.Effective management of designated AOP category to ensure that business remains within budget.Service:Ensure compliance to service levels agreed pertaining to order fill rate.Maintain service levels agreement with suppliers to optimise the supply chain. Quality:Ensure correct stock freshness is adhered to for orders to specific customer groups and locations, as per the specifications per customer.Manage the retrieval of obsolete stock from within the CDC by assigning the appropriate resources to this activity.People:Responsible to deliver agreed targets (KPI’s) relating to receiving area performance.Managing direct reports performance and take corrective action (as and when required)Cost for the site:Manage cost within the AOP.Ensure accurate forecasts submitted for P4F and P9FManage Pallet costs within targets setEnsure no outstanding pallets to be written offManage overtime by proper planning.Manage absenteeism < 2%.Ensure limited use of contract labour (only where justified and approved by HR)Manage all distribution assets.Ensure no outstanding PODs (Proof of Delivery) or Credit Notes (CNs)Service for the site:Ensure 95% Service Level (Fill rate) Ensure 95% On time DeliveryEnsure accurate and timely communication of delays to pro-actively manage customersReport on % departures by 7AM dailyTrack Cut cases % (cases cut from order versus original order processed) with loss tree analysis monthlyQuality for the site:Ensure housekeeping and hygiene practices inside/outside facilities (AIB) to ensure a rating of >700Ensure 100% adherence to Health, Safety and AIB procedures and regulations. Ensure on time submission of Key Control quarterly feedback and sample results.Manage and track all non conforming quality issues for escalation and resolutionPeople:Implement Monthly Site town hallDaily Driver meetings (15min)Managing staff performance and take corrective action.
