The incumbent will perform a variety responsibilities to include the sourcing, price checking and ensuring availability of consumables, self-care, OTC products, devices and any other relevant product to the Medipost Holdings Group and its customers/patients PRIMARY PURPOSE OF THE JOB The following are the primary responsibilities of this person Ensure that all your daily functions and operations comply with written SOPs, good Warehousing and Distribution Practises, Health and Safety Act and Regulations and Quality Management Systems. Active engagements with all stakeholders throughout the Medipost Holdings Group to establish, update and execute on the strategy pertaining Medical Consumables, Selfcare, Online and OTC products Ensure procurement of products comply to GWP and GPP quality standards Ensure optimum stock levels is maintained by working closely with the Procurement Team, in line with customer requirements and company expected availability on Medical Consumables, Selfcare, Online and OTC products Ensure availability of stock from suppliers according to agreed stock holding Buy out of stock – escalation to the Procurement Manager and follow up on Out Of Stock items on Medical Consumables, Selfcare, Online and OTC products Maintain a comprehensive up to date out of stock report to support the Online sales product strategy Updating of new products with Codeine act, correct scheduling and all applicable legislative rules to ensure compliance to GPP Online Rules and Regulations Minimum Standards for Pharmacies Operating Internet Sites Monitor customer’s back orders and engage with relevant departments to ensure thorough communication through the value chain Work in close affiliation with Marketing Department, Medipost Pharmacy Medicine Group Procurement Department as well as Order Processing Managers and Walk-In Centre. Cape Town Departments form part of the group. Work in close affiliation with the appointed Online Shop developer Work in close affiliation with the IT Department, as new development, data imports and general Medipost APP applications forms part of the Online Offering process Loading of items to be sold on the Online Portal Broadening of the Online offering within the approval’s framework Close working with the Operational Managers in Medipost Pharmacy to ensure optimal sourcing and dispensing of MedicalConsumables. Work in close affiliation with the Finance Department to ensure payments are processed, recorded and client experience is optimal when procuring on the Online portal Work in close relationship with the HR department. Implement and Maintain Reporting internally, as well as externally. Ensure reporting to the business on the sales of Medical Consumables, Selfcare, Online and OTC products are reported on, trends displayed, and analysis available. Ensure expectations of suppliers are documented and reporting requirements and executed accordingly where applicable. Liaise with Receiving and Inventory with regards to credits and returns to ensure proper and timeous handling of credits on Medical Consumables, Selfcare, Online and OTC products Handling of administrative Contract Compliance to ensure deals are documented, recorded on the system for tracking purposes as well as controls in place to ensure applicable fees as invoiced. Commercial benefits to be listed in the weekly/monthly meetings with the Commercial Head: Pharma, Medipost Pharmacy Stock Manager and Medipost Operations Managers. Ensure new product entries are treated as per Procurement Policy, with monthly discussions with Managers involved in OTC and Online products to ensure up to date and market trend products are loaded onto the Online Portal Develop and implement effective digital marketing strategies to drive brand awareness, increase online visibility, and generate leads and conversions. In collaboration with the Marketing team, utilize various digital marketing channels, tools, and techniques to optimize campaigns, monitor performance, and analyze data to refine strategies and achieve marketing objectives. This role requires a strong understanding of digital marketing trends, platforms, and analytics to deliver measurable results. Close working relationship with the Online portal developer to ensure optimal client experience through all Online Shop portals Price checks on Online offerings weekly Feedback in various Operational, Managerial and Strategic meetings on strategies, implementations, timeframes, challenges and successes in the department. Participate in annual stock take undertakings where needed.  PERSON SPECIFICATION (What is required to perform the Essential Duties?) Purchasing experience: The ideal candidate should have a minimum of 3-5 years of experience in purchasing, preferably in the Selfcare and Consumables sector. Knowledge of Selfcare and Consumables products: The candidate should have a good understanding of the Selfcare and Consumables product categories, including skincare, personal care, oral care, and healthcare products. Supplier management skills: The candidate should be adept at managing supplier relationships, negotiating contracts, and ensuring on-time delivery of products. Analytical skills: The candidate should possess strong analytical skills to analyze product trends, monitor inventory levels, and forecast demand. Attention to detail: The candidate should be detail-oriented, ensuring accuracy in purchasing, invoicing, and inventory management. Communication skills: The candidate should possess excellent communication skills to collaborate with other departments and suppliers, effectively conveying requirements and addressing issues. Technical skills: The candidate should be familiar with procurement software and have proficiency in Microsoft Excel or other data analysis tools. Analytics and reporting: Monitor and analyze key performance indicators (KPIs) such as website traffic, conversion rates, click-through rates, and engagement metrics. Provide regular reports and insights to evaluate campaign performance, identify opportunities, and make data-driven recommendations Self-motivated: The candidate should be self-motivated and able to work independently, taking ownership of tasks and delivering results in a timely manner Organization and Time Management: Medical consumable buyers often handle multiple orders and projects simultaneously, so organizational skills and the ability to manage time effectively are important The individual must entail acute awareness of opposition offerings Have awareness and eagerness to stay on top of new developments, products and changes in the pharmaceutical industry Integrity with regards to Good Governance and Good Procurement Practices Minimum Grade 12 or similar level of education.Certfication/Diploma/Degree in Business Administrator or Supply Chain Management.Computer Proficiency and knowldege.  Ideal: Good understanding of pharmacutical appliances/consumabales.Profiencieny in understanding and using digitak maerketing platforms and tools.1-3 years of exprience in procurment, purchasing or supply chain management.Exprience in the healthcare industry or medical suply purchasing is preffered. Digital Marketing exprience2 -3 years buying experience within the pharmaceutical industry.Digital Marketing experience.Specific Requirements/other important informationAbility to prioritise large work loads, and make decisionsAbility to maintain policy guidelines within pressured situationsAbility to accept and take charge of projects allocated on short notice within strict timelines/ deadlines.Ability to work with all applicable supporting departments in the Medipost Holdings Group.Willingness to work and attend meetings between the different Medipost Holdings sites.
