Our client is a technology driven company, offering a variety of services, including turnkey solutions for all wastewater treatment related industries. The company is looking to employ a Project Administrator until the 31st December 2024 in Cape Town. The project site is in Sand Industria, Athlone, Cape Town, it is a hybrid working environment and the successful candidate will have to be on site regularly. The company needs an experienced Project Administrator with a well-rounded understanding of EPC recycling facility, design-build & commission type projects. This role to support the Project Manager. The appointment would be a fixed term non-permanent appointment. The duration of the contract would be 6 months with a view to establish a longer-term relationship with the Company. The contract may extend but at this stage it will end on the 31st of December 2024. General overview The candidate must demonstrate a well-rounded knowledge of the principles of Project Management Administration and must be conversant and demonstrate an in-depth knowledge of Project Administration. Knowledge of the areas as defined by the PMI (PMBok standards) will be advantageous. Practical applications of these administrative principles must be demonstrated. Preference will be given to candidates with experience in water related projects. Reporting structure: The Project Administrator will report to the Project Manager for all instructions & task. Administratively to the Project Management Office to support execution efforts. Key Responsibilities: Assist the Project Manager to managing the project from Appointment to Close-out throughout all the Process Groups & Knowledge areas required to satisfy the specifications of the contract. Document Control: Establish and maintain a comprehensive document control system to manage project documentation, including drawings, specifications, contracts, and correspondence. Ensure accurate version control, distribution, and storage of project documents in compliance with organizational standards and contractual requirements. Meeting Coordination: Schedule and coordinate project meetings, including team meetings, progress reviews, and stakeholder meetings. Prepare meeting agendas, distribute meeting materials, and document meeting minutes and action items. Communication Management: Facilitate communication among project team members, stakeholders, and external partners by disseminating information, responding to inquiries, and resolving issues in a timely manner. Maintain regular communication with project stakeholders to provide updates on project progress, milestones, and key deliverables. Data Analysis & Reporting: Collect, analyze, and summarize project data to generate reports on project status, performance metrics, and key performance indicators. Assist in the preparation of project status reports, presentations, and other deliverables for internal and external stakeholders. Change Management: Support the change management process by documenting and tracking changes to project scope, schedule, and budget. Assist in evaluating the impact of proposed changes and coordinating their implementation in collaboration with relevant stakeholders. Risk Management: Assist in identifying, assessing, and documenting project risks and opportunities. Maintain the project risk register, tracking risk mitigation actions and monitoring risk triggers. Required Skills: Excellent problem-solving, critical thinking and analytical skills. Proven track record in delivering high-quality programs/projects. Able to display exceptionally strong interpersonal, verbal and written communication skills. Able to develop and maintain long-term relationships with all members of the team. Ability to present to project manager to gain approvals. Passionate about solving complex challenges within aggressive timelines. Proficient in Microsoft Word, Excel, Power Point, Projects and other relevant software platforms. Expedite various elements of the project to meet budget & time constraints. Preferred Education: Minimum of 2-3 years of experience in project administration or related role, preferably in the EPC industry. Proficiency in document control systems and project management software. Strong organizational skills and attention to detail. Strong leadership, communication, negotiation, and problem-solving skills. Excellent written and verbal communication skills. Ability to thrive in a fast-paced, dynamic environment and effectively manage competing priorities and deadlines. Familiarity with project management methodologies (PMBOK) is an advantage. Recommended Experience: Min 2-3 years’ experience in EPC projects as a Project Administrator or Project Manager. Proven Track Record.
