The Office Coordinator will play a pivotal role in ensuring the smooth operation of our office environment. This multifaceted position will involve general administrative duties as well as coordinating travel arrangements for management and employees. General Administration: Greet visitors and direct them to the appropriate person or department. Answer and direct phone calls in a professional and courteous manner. Manage incoming and outgoing mail and packages. Maintain office supplies inventory and place orders as necessary. Assist in the preparation of reports, presentations, and other documents. Organize and schedule meetings and appointments. Handle sensitive and confidential information with integrity. 2. Travel Arrangements: Coordinate domestic and international travel arrangements for management, employees, including flights, visas, accommodations, and transportation. Research and identify the most cost-effective and efficient travel options. Ensure all travel itineraries are accurately documented and communicated to employees. Facilitate vendor payments with Finance in a timely manner. Serve as the primary point of contact for travel-related inquiries and support. 3. Office Management: Maintain a clean and organized office environment. Liaise with building management and external vendors for office maintenance and repairs. Assist in the planning and execution of office events and meetings. Implement and enforce office policies and procedures. Support other departments with administrative tasks and projects as needed. KPI’S Qualifications and Experience Qualifications and Experience Bachelor's degree in Business Administration, Management, or a related field preferred Proven experience as an Office Coordinator, Administrative Assistant, or similar role. Strong organizational and time-management skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Familiarity with travel booking platforms and expense management systems. Ability to prioritize tasks and work efficiently under pressure. Discretion and confidentiality when handling sensitive information. KPI's Schedule Management – Extensive time management skills to determine schedules and milestones and ensure that deliverables are completed on time Problem-Solving – Excellent problem solving capabilities, able to quickly change direction based on updated client specifications or system limitations Computer Literacy – Required to be computer savvy and must feel comfortable working on computers for a long time. Communication – Excellent verbal and written communication skills is paramount in this role. Key competencies and skills Strong written and verbal communication skills, including professional etiquette and diplomacy. Ability to anticipate needs, exercise sound judgment, and make independent decisions when necessary. Discretion and confidentiality in handling sensitive information and communication. Flexibility to adapt to changing priorities and work outside regular business hours as needed. Positive attitude, proactive mindset, and willingness to take on new challenges with enthusiasm.
