A well established Retail Store is seeking a Human Resources and Payroll Administrator in Verulam.DUTIES:· Creating a Vibe with the storeGreet visitors to the HR office in a welcoming and friendly manner.Answer and forward calls within the Main office, switchboard, etc.Perform general administration dutiesPerform private/confidential filing for the Disciplinary with Labour-solve support.Assist with the preparation and submission of applications for Employee UI19 documents, salary schedule, pension with liberty, ex-employee service certificates, Sassa applications, Learner’s portfolio of evidence graduates log books Department of labour inspection required documents, and more.· Prepare, and email labour requisitions, promotions requisitions, and health and safety documents, etc, for approval.Answer questions from and act as the liaison between the employees, supervisors, managers, store manager, operations, group Human Resources Manager & Directors.Schedule appointments / one on ones for the store managers and employees for forum meetings, EE / WSP meetings with committees, and SDF , which may be required from time to time.Prepare the boardroom or meeting room for meetings and arrange for refreshments.Responsible for the preparation of contracts and revisions and maintain master template for all contract formats.Maintain a confidential system for personnel records for all employees in order to provide a comprehensive, efficient, accurate, and current record of all matters pertaining to employment, transfer, tenure, retirement, leave, and promotion.Maintain current and historical databases for personnel records (Copy systems).Prepare and maintain all employee position job descriptions in a consistent format and work with the store, department managers & supervisors to ensure that employees know and understand the duties and expectations of their jobs.Work with Department Managers to implement the staff evaluation process, and receive and file evaluations from department supervisors.Ensure that all staff members are aware of and have access to the suggestion box when needed.Liaise with labour inspectors, UIF confirmations, auditors, head accountants, admin managers, IOD service providers, and new employee’s registration on e-learning, assist with conflict resolutions, and grievances.Assist in obtaining quotations for uniform, safety training & wear, legislative posters, community service, annual year-end function and facilitating payment and service providers.Master the open-door policy and listen to employeesPerform one on ones with Employees to maintain positive working environmentBe dedicated to driving and enhancing the company culture.Assist with scheduling training for identified employees.Assist with transitional support for new new employees, (transferred employees, etc)Assist in the arrangements that need to be made for any staff meetings, training, transport needs.· Provide customers service coverage and act as Store Representative in the absence of the store manager, when dealing with customers.Any other duties as may be assigned by the Director or the Group Human Resources Manager.ATTRIBUTES:Demonstrate the aptitude or competence for assigned responsibilitiesDemonstrate the ability to take initiative and carry out assigned tasks to completionManage time and resources well and demonstrates good organizational abilitiesWork under pressure when required and be available to work overtime when the role and responsibilities require itCommitted, motivated, and able to achieve tasks in a required time frame to meet an individual or team outcome.Positive attitudeContinuously pursues to improve skills through on-the-job or external trainingAble to prioritize important matters and act on them accordinglyStrong interpersonal skills PREFERRED SKILLS AND EXPERIENCE:A minimum of 3 - 5 year’s experience in a Human Resources OfficePrevious experience working in the retail sector advantageousKnowledge of South African laws and HR compliance and regulationsAn understanding of, and insight into, the BCEA, LRA, OHS, EE, and POPI ActsAn understanding of South African immigration laws.Be inclined to live by the company policies that ensure the organization continues to remain successful…KEY PERFORMANCE INDICATORS:Be informed and keep up to date with South African Labour laws.Assist employees with HR-related queries and requests.Inform the Operations Manager regarding all matters that involve conflict between employees and communicate with Labour-solve for the best possible solutionsAssist in the development of Human Resources procedures and processes.Work to improve communication, cooperation & planning within each store and the management teams.· Recruitment is to be done from Head Office· All candidates will be forwarded to the store for the interview process between the store managers, HR & Department Manager.Be familiar with Labor Law regulations and Basic Conditions of Employment regulations.Communicate with the head office the following.Terminations of EmployeesEnd of contracts, dismissals suspensions.Terminations of all Learners.Refer all employee interviews to the Group HR manager.Compile and forward HR report to Group HRUse discretion and maintain confidentiality at all times.QUALIFICATION:HR Certificate, degree, diploma, or other relevant qualification relating to Human ResourcesMatric QualificationKnowledge of principles and practices of office coordinationKnowledge of basic principles and practices of record keepingExcellent command of the English language, including spelling, grammar, and punctuation.Previous experience in a similar role and in a retail environment preferred.Knowledge and principles of Human Resources PracticesKnowledge and experience in VIP Premier or Sage business professional’s cloud HR database systemJob Type: Full-timeJob Type: Full-timePay: R8000,00 -
