Multidisciplinary role incorporating various tasks and duties related to Office Administration, Helpdesk (processing work orders on Forcelink) and Reception (receiving of clients guests, answering telephone calls for switchboard). PRIMARY DUTIESMaintain administrative servicesAssist with basic HR functions, liaising directly with HR department at Head OfficeHelp DeskControl and maintain stockInvoicesSECONDARY DUTIESMaintain Administrative ServicesMaintain services allocated to you according to SOP’sTyping of letters and documents accuratelyTaking minutesMaintain current filing system and keep up to dateHelp DeskReceiving and facilitating client requests and processing these requests as work orders on Forcelink.Control and Maintain StockMonitoring and ordering stock when necessaryInvoicesSort and check Supplier InvoicesCompare invoice to orderAttach order to relevant invoiceEnsure address and VAT numbers on invoice are correctEnsure that order is attachedStamp and allocate invoiceAdd all invoices and statements on Control SheetForward to on-site Facilities Manager for signingForward to Head Office for paymentRelief Functions Assist with reception duties at front deskComply with any legal request as delegated by on-site Facilities Manager. This may include but will not be limited to:Stand in for Maintenance Supervisor for short periods as requiredAssist with maintenance issues in the absence of the supervisorStand in for Client Service LiaisonKey Skills and ExperienceGrade 12Valid drivers licenceHigh level of computer literacy (especially Word, Excel and Power Point)#J-18808-Ljbffr
