ABOUT HILLSIDE: Our Hillside Aluminium smelter in Richards Bay produces high-quality, primary aluminium for the domestic and export markets. ABOUT THE ROLE: This role is a permanent full-time position. As an Executive Assistant , you will be responsible for providing professional secretarial and administrative support to the Vice President Operations. Other key responsibilities include, but aren’t limited to: • Diary / calendar management - screen all requests for appointments with the Vice President Operations, advise on availability and arrange venues; • Organizing in-person or virtual meetings. This includes coordinating availabilities regularly with other Executive schedules across the organization; • Administration - Performing highly confidential administrative tasks. Maintain office equipment and supplies, budgets and other administrative duties as required; • Arrange business travel (domestic&International), visa applications, and administer related expense management; • Arrange social / team building activities i.e., venue, catering and required activities – input of purchase requisitions and payment follow-up.; • Receive executive internal&external visitors, formulating itinerary, arranging of personal protective clothing/equipment and refreshments according to agreed procedures; • Coordinate and organize business meetings, conferences, including, meeting room bookings; • Planning and executing companywide roadshows and events; • Inform managers on matters within the department, especially after absence from the office; • Maintain professional telephone skills, etiquette, and company image. ABOUT YOU: You will have experience and demonstrate capability in the following: • Must have a minimum of 8 years’ secretarial experience; • Computer literacy in MS Office (Excel/Word/PowerPoint) is essential; • Knowledge of 1SAP R/2 would be advantageous; • Ability to thrive in a fast-paced deadline driven environment while maintaining composure under pressure. Qualifications for this role are: • Secretarial National Diploma.
