What you will do The main purpose of the position is to support the Sales Administration Process for new vehicles through administrative and logistical support to the sales team, ensuring efficient order processing, accurate record keeping, and timely customer communication. This role requires a detail-oriented individual with excellent organizational skills and a strong understanding of the truck sales industry. The role is based at the Volvo Group Southern Africa headquarters and will report directly to the Sales and Logistics Manager of Volvo Group Southern Africa, or to the position that the company may appoint. Job Objectives Process and manage truck sales orders efficiently and accurately, ensuring all information is complete and compliant with company policies. Ensure proper communication and coordination between sales administration and Executives, Sales support, and logistics departments for order fulfillment and to ensure smooth order processing, delivery, and invoicing. Verify Sales order accuracy by ensuring all documentation is included and accurate, including truck specifications, pricing, and customer information for the Approvals of invoice creation. Track and monitor sales Administers performance against targets, generating reports for sales management. Reviews and approves purchase orders for sales-related items for both internal and external suppliers, ensuring compliance with company policies and budgets. Monthly data collection and management to record sales commissions payout by submission of sales commissions following management verification and timely sign-off. Maintain accurate and up-to-date customer and truck sales records within a CRM system. Support Admin team’s Training and development and implementation by creating a supportive environment, performance management, and recognition of accomplishments for motivation and engagement. Fostering a culture of continuous improvement by identifying opportunities, addressing bottlenecks, and implementing improvements within the team. Maintain and supporting Truck Sales systems including Support and set-up on all aspects of vehicle invoicing via Truck Invoicing Application and performing quarterly access checks and reports for audit purposes. Qualification&Job Experience Matric / any Tertiary Qualification. Project Management. Planning and Organising. Minimum of 5 years’ experience in the Commercial Truck Industry. General understanding of Truck market. Preparation and presentation of product info. Good Negotiations Skills. A true team player with strong interpersonal skills – including excellent written and oral communication with the ability to communicate appropriately with all levels of management and colleagues. Highly competent in digital&IT tools, including Office 365 and Volvo Group related systems. Strong decision making, Initiative and problem-solving skills. Flexibility, energy and time management skills with the ability to deal with changing deadlines and priorities. Fluent in English, verbal and written communication. Good Knowledge of the market and the customers.
