Purpose of the Role:To provide an efficient data processing and administration service in order to ensure accurate payroll records of employees as well as to contribute to the timeous and accurate processing of payroll in compliance with government regulations.Role: Payroll ClerkLocation: Pinetown, Durban SAQualification:Grade 12 (Matric)Proficient in payroll softwareHigh level of computer literacy (Excel, MS word, Power Point).Minimum of 3 years in payroll administrationSkill and Knowledge RequirementsAccurate data entry skills with great attention to detail Excellent communication skills, both verbal and written, to communicate with employees regarding their issues and concernsStrong math and communication skills.Solid knowledge of payroll principles, processes and proceduresDetailed knowledge of statutory requirements i.e. PAYE, UIF, SDL, COIDAAbility to multitask in a stressful environment with specific deadlinesAbility to work independently in a time-sensitive environmentConfidentiality and respect for the privacy of employee recordsAbility to devise and implement best practise processes, systems & documentation and daily management to ensure compliance/fully functional & operating at all timesGood numeracy and literacy acumenGood time management skillsAbility to establish and maintain effective working relationshipEnsure department is fully compliant with BRC requirementsPAYROLLGather and process data for monthly payroll (which includes timesheets, leave forms, new appointments, transfers, terminations, overtime etc.)Administration of compensation and benefits (sick pay, maternity pay, death benefits, UIF, funeral policy, provident fund)Ensure accurate and timeous submission of PAYE, UIF, SDL and Union fee PaymentsCalculating payable hours, commissions, bonuses, taxes, and deductions.Processing new employees, promotions, and terminations including supporting documentsUpdate and maintain internal database with employee, casuals and contractor informationComplete UIF documentation for all staffInvestigating and resolving payroll discrepancies and queries (which includes SARS queries, leave and wages/salary administration queries etc.)Assist with payroll related tax and financial year end proceduresAssist with monthly balancing of salary reconciliations and commission reportsManaging special situations like maternity or sickness payMaintaining all payroll operations according to company policies and proceduresManage staff attendance records and absenteeism monitoring systemAssist with maintenance of personnel files system and recordsManage and maintain electronic employees’ databases / Staff ListsIssue payslips to employees / HOD’s.Preparing periodic payroll reports.Assist with Employment Equity and Skills plan TIME ATTENDANCE AND CLOCKING:2.1. Keep up to date clocking times2.2. Enroll new employees on biometric clocking system2.3. Maintain shift parameters2.4. Amend employee shift patterns2.5. Capture irregular clocking times2.6. Meet daily with supervisors to verify clocking times of staff2.7. Report and trend late and absent employees to Department2.8. Update final clocking reports after Department Manager authorisation2.9.
