Responsibilities: Property Marketing: Marketing vacant properties, including creating listings, conducting showings, and coordinating with agents. Prepare marketing materials and utilise various platforms and to advertise vacant properties. Posting Youtube Videos to company channel Create graphics using templates for Social Media Coordinate with photographers for property photography sessions. Set up appointments for viewings on behalf of the team. Tenant Relations: Screening telephone calls, whatsapp, and email enquiries/requests and handling when/where appropriate Attend to enquiries from tenants, addressing their inquiries, concerns, and requests. Facilitate tenant move-ins and move-outs, including coordinating with maintenance and ensuring all paperwork is completed. Lease Administration: Prepare, review, and manage lease agreements and amendments. Ensure lease compliance and maintain accurate lease records. Track lease expirations and renewals and manage rent increases and lease negotiations. Property Maintenance: Coordinate and oversee maintenance and repair activities to ensure properties are well-maintained. Schedule regular property inspections and handle emergency maintenance requests. Liaise with contractors and service providers, obtaining quotes and overseeing work to ensure it meets required standards. Monitor and manage property expenses, seeking cost-effective solutions to maintenance and operational needs. Administration: Maintain accurate and up-to-date property management records, including tenant files, maintenance logs, and financial documents. Assist with checks ins/outs and property viewings. Short-term Rentals-Assistant Role Manage Airbnb enquiries, providing comprehensive assistance and information to potential guests Facilitate communication with cleaning personnel regarding scheduling and task assignments for cleaning duties Send initial contact emails to Airbnb guests, confirming and solidifying bookings. Create welcome notes for Airbnb properties Customer Service: Provide excellent customer service to tenants, property owners, and other stakeholders. Handle complaints and resolve issues in a professional and timely manner. Skills and Qualifications Education: High school diploma or equivalent; additional education in property management or related field will be an added advantage. Experience: Minimum of 1-2 years in Administration or Property Management. Skills: Excellent organizational and multitasking abilities. Strong communication and interpersonal skills. Proficiency in property management software and Microsoft Office Suite. Ability to work independently and as part of a team. Strong problem-solving skills and attention to detail.
