To be responsible for creating and maintaining new business and maintenance forms and updating all compliance, business rules and legislative changes on multiple documents including but not limited to product terms and conditions, policy documents, process guides, brochures, etc. The role is also responsible for composing and distributing approved communications to internal staff, adviser support staff, financial advisers and clients; and maintaining client contact details. Key Outcomes The following outcomes will be expected to be achieved by the Communications Specialist: Communications Management Assist with compiling the month end report Prepare and arrange for distribution of business-as-usual communication to internal and external parties Maintain and update communication templates used for internal and external communication Compile and prepare data extracts for communication Maintain archive records of all communication distributed Maintain and upload website content Briefing Studio on all design work required Logging IT calls on behalf of the communications team Maintain, update and store Terms&Conditions Maintain, update and store Brochures Maintain, update and store the communication teams Process Guides Maintain results of delivery reports from mailing campaigns Assist in campaigns to convert clients from post to email, among other data collection campaigns as required/requested Assist in ad-hoc communication related projects Forms Management Make changes to all forms when required/requested in line with compliance, legislation and changes to business process. Update Sharepoint with latest versions of all forms Log EAC MAT call for updated application forms Communicate to all relevant parties when changes are made Review all forms on an annual basis to ensure they are updated and compliant Maintain and keep an up-to-date forms register Focus on meeting commitments, including communications with stakeholders Maintain a communication schedule to update stakeholders including appropriate staff in the organization on the progress of form amendments Work with stakeholders to obtain sign off on documents Qualifications and Experience Matric Relevant industry related diploma or degree Minimum 3 years working experience in communications or forms / document management role LISP knowledge and experience is advantageous Knowledge of FICA, advantageous Client focus Cultivates innovation Drive results Problem solving Time management Analytical thinking Attributes Honesty, integrity and respect Ownership and accountability Ability to co-operate and thrive both within an independent and team environment Self-starter with a growth mind-set What will make you successful in this role? Qualification and Experience Diploma with 3 to 4 years related experience.
