Service Advisor Job Description:Daily Workshop bookingsManaging all repair vehicle bookings in workshopLiaising with Workshop Foreman on work in progressManaging awaiting part dates and ETA’sLiaising with Operations Managers on workshop work in progressJob CardsOpening and closing job cardsAssigning job cardsTechnician clocking on job cardsChecking all detail on job card is correct with vehicle stock number etc.Create EstimatesGetting prices for parts and engineeringCreating estimates on Evolve systemSending estimates to Head of Department for ApprovalMaking orders for suppliers once estimate is approved by HOD.Obtaining invoices from suppliersParts ordering and SourcingObtaining prices for new and second hand partsArrange logistics for parts sourcedExchange wrong partsArrange credit notes for partsArrange engineering and obtain costsBringing parts in to stockAssigning parts location in stock roomLiaising with the logistics department and ensuring that goods are dispatched on time.Vehicle Invoicing:Ensuring that information details are kept up-to-date.Creating and sending invoices and statements to suppliers.Checking the data input to ensure the accuracy of the final bill.Tracking payments and ensuring that the cash flow into the company is buoyant.Reporting issues or irregularities to the head of the department.Fixing billing errors by issuing debit and credit memos.Recovering outstanding debtors.Handling supplier account queries.Initiating new procedures for billing.PaymentsArrange all payments to suppliers and engineeringLiaise with Finance department on all outstanding payments and InvoicesArrange payment requisitionsArrange order fuel slips for test driving vehiclesArrange payment for Special Tools and sundriesFleet vehiclesManage fleet bookings for service and repairsMake sure we have parts on hand for all fleet vehicle servicesLiaise with Logistics Manager on fleet ETA’s and loan vehiclesObtain estimates for fleet vehicle repairs or unforeseen faultsLiaise with service technician on work in progress on fleet vehiclesVehicle TransportArrange inter- Branch Transport for repair vehiclesArrange transport for engine parts from and to engineeringManage in transit vehicle report and give feedbackLiaise with Operations Manager on vehicle arrivalStock TakeCarry out monthly part stock takeCarry out monthly special tool and equipment stock takeBring all service and repair parts in to stockBook all service and repair parts out of stockAllocate and tag all second hand parts in bin locationsReportsGive weekly feedback report on work in progress and awaiting partsGive monthly feedback report on stock takeGive weekly and if needed daily report on workshop productivity and efficiencyUpdate technician productivity and efficiency daily on notice boardUpdate daily booking sheet on notice boardTechnician KPI’sMake sure technicians’ clock on and off on job card using evolve and electronic clocking.Make sure technician completes job card after every vehicle is repairedMake sure technician clocking times are correct as per AutodataPre print booked job cards for the next day and make sure the vehicle details are correctBenefits:Competitive SalaryMomentum FundsAtWork Provident Fund15 days Annual LeaveRequirements:Valid driver’s licenseAutomotive Trade Certificate - Mechanic (Added Advantage)#J-18808-Ljbffr
