Tender and Project Officer

We are looking for a motivated and detail-oriented Tender and Project Officer to join our team. The successful candidate will be responsible for managing the tendering process, coordinating project activities, and supporting project managers in delivering successful outcomes. This role requires excellent organisational skills, attention to detail, and the ability to work effectively under pressure to meet deadlines.Roles and Responsibilities:Tender ManagementCoordinate the preparation and submission of tender documents in response to requests for proposals, invitations to tender, and requests for quotations.Conduct research to identify potential tender opportunities that align with the company's expertise and objectives.Collaborate with internal stakeholders, including finance, to gather information and develop tender responses.Ensure compliance with tender requirements, including formatting guidelines, submission deadlines, and mandatory documentation.Project CoordinationAssist Reporting Managers in planning, organising, and executing project activities to meet objectives and deadlines.Maintain project schedules, track progress, and monitor milestones to ensure timely completion of deliverables.Coordinate meetings, workshops, and presentations related to project planning, progress reviews, and stakeholder engagement.Prepare project documentation, reports, and presentations for internal and external stakeholders.Contract ManagementSupport contract negotiations and administration, including reviewing contract terms and conditions, identifying risks, and proposing amendments as needed.Maintain contract databases and tracking systems to monitor contract status, key dates, and obligations.Facilitate communication between project teams, clients, subcontractors, and vendors to ensure compliance with contract requirements and deliverables.Risk Assessment and MitigationIdentify potential risks and issues related to tender submissions and project delivery and develop strategies to mitigate them.Conduct risk assessments and feasibility studies to evaluate the viability of proposed projects and identify potential obstacles.Implement risk management processes and procedures to minimize project disruptions and ensure continuity of operations.Quality AssuranceEnsure the quality and accuracy of tender documents, project plans, and deliverables by conducting reviews and quality assurance checks.Implement best practices and quality standards in tendering and project management processes to enhance efficiency and effectiveness.Monitor and evaluate project performance against predefined metrics and benchmarks, identifying areas for improvement and implementing corrective actions.Qualifications:Bachelor's degree in Business Administration, Project Management, or related field.Minimum Requirements:Familiarity with tendering processes, contract management principles, and project management methodologies.Strong analytical and problem-solving skills, with the ability to assess risks and develop mitigation strategies.Proven experience (3 years) in tender management, project coordination, or related roles.EE DisclaimerKindly note that all positions will be filled in accordance with the company's Employment Equity plan.
