Our client, specializing in the labour relations industry in the Gauteng (Roodepoort) region, is seeking a dynamic Assistant Administration Manager, to manage and assist finance and Admin Manager.Behavioural Competency• Excellent communication skills both written and verbal.• A stable track record• Honesty and integrity• Methodical and systematic working style• Accuracy & Attention to detail• Well organised• Maintain confidentiality.• Ability to work under pressure and meet targets.• Able to work independently.• Fluent in English• Ethically sound and no criminal recordDuties include the following, but not limited to:• Report directly to the Finance and Admin Manager.• Dealing with complicated account queries from industry.• Allocation of unallocated payments to the correct salons.• Reconciling of unreconciled credit notes on accounts.• Reconciling bank statements.• Manage Capturing/Allocating of all incoming payments (from bank statements) to accounts.• Processing credits and ad-hoc invoices on salon accounts.• Create reports received from all staff in Administration Department.• Submit Weekly and Monthly Reports to the Finance and Admin Manager.• Ensure adherence to the Council’s Strategic Plan and assist in creating a Departmental Strategic Plan.• Execute Pension Fund Refund requests in line with the Council policy and the Rules and forward to the Pension Fund Front Office for action.• Correct incorrect allocations of payments.• Manage all employees within the Administration Department.• Create and oversee data and other projects in conjunction with Finance and Admin Manager.• Provide assistance, guidance and training to all staff within the Administration Department.Manage and Assist Finance and Admin Manager• Generating and distribution of payments on account lists.• Creation of Debit Order File to be imported on SAP system.• Importing of return debit orders.• Reconciling control accounts.• Effecting staff changes on the SAP or other Accounts system.• Assist with Running of daily postings at the end of each day.• Oversee printing of monthly Returns.• Provides support to the Finance and Admin Manager in implementing strategic and operational plans of the Administration Department.• Ensure staff members reach set targets within the Administration Department.• Conduct regular meetings with Staff members.QUALIFICATIONS, EXPERIENCE & REQUIREMENTS• An Administration Qualifications would be an advantage.• Minimum of 2 years’ working experience in a supervisory or management role.• In-depth knowledge and experience of the SAP system and/or other systems.• Experience and Knowledge of Administration, Credit Controlling, and accounting systems.• Experience in setting up of departmental Strategic Plans• Experience in training staff on SAP/Accounting system usage would be highly advantageous.• Understanding of Bargaining Council environment – advantageous.• Willing to travel and possess a Valid Driver’s License and own car.• Excellent Excel skills including Pivot Tables and V-Lookup formulas.• Willing to work after hours and, on occasion, on weekends.• The successful appointed candidate may be required to travel to regions (nationally).RemunerationBasic Salary – R25 000Cell phone allowance – R500Compulsory Pension Fund (6% Employer and 6% Employee)If you don’t hear from us within 3 weeks of your application, please consider your application unsuccessful.
