POSITION: Regional Fleet ManagerREPORTS TO: Senior Manager, Fleet (Regional Fleet Manager)SUBORDINATES: Fleet administrator and fleet co-ordinatorMAIN PURPOSE OF JOB: The incumbent will be responsible for ensuring the effective running of the fleet within the region by ensuring the maximum number of serviced and reliable vehicles is available for deployment. The incumbent is also responsible for analysing all available fleet information to ensure optimal utilization of vehicles and report back to business.1. QUALIFICATION & EXPERIENCE:Relevant Degree or three year diploma – Fleet or Transport ManagementExperience in fleet essential5 years’ experience at Middle Management levelPeople Management experience with a proven track record of employee engagement and developmentStakeholder management2. KEY PERFORMANCE AREA4.1 OPERATIONSLiaise with Branch and Operations Managers and Local Fleet Co-ordinators concerning the running of their sub-fleets –Fuel consumptionPre-trip inspectionsEnsure the correct servicing and mechanical maintenance of the fleet through controlling the performanceSecuredrive violationsTyre managementControl and direct the activities of Local Fleet Department concerning requirements, performance and trend activities, guidelines and deadlines of and reporting of Local Fleet Co-ordinators and AdministratorsEndeavour to reduce Motor Vehicle Accidents within the RegionMaintain good working relationships with suppliers and service providers to ensure prompt attention to company requirementsMaintain records and statistics to provide data for proactive and reactive measures and planningAssist Management to plan for the effective usage and control of vehicles under their supervisionAuthorize the procurement and cancellation of fuel cardsMonitor and provide feedback to managers regarding fuel consumptionScrutinize fuel reports received from suppliers to ascertain correct fuel consumptionSample controls of vehicle monitoring equipment to determine levels of excessive idling and advising management of the outcomeLiaising with management to leverage of best practices within Fleet departmentImplement all fleet SOPs4.2 FINANCE MANAGEMENTPrepare for the purchase of capital items and assets (including lease vehicles)Plan and authorise the purchase of consumables and maintenance of vehicles for regionAsset managementImplement three quote system for all procurementWork closely with the Finance department monitor expenditure and invoicingAssist in budget preparations and management4. 3 EHSSet the tone and advocate Zero Harm initiatives and implement strategies to ensure employee health and safetyEnsure legal compliance of fleetManage accidents4.4 HUMAN RESOURCE MANAGEMENTPro-actively engage with employees to ensure optimal work performance, employee satisfaction and low attrition rates in an environment prone to employee developmentRecruitment and development of talented employees in conjunction with the Human Resources departmentQuarterly performance management review and discussions with direct reports4.5 CUSTOMER SERVICEReduce vehicle off the road incidentsDiscuss and plan turn back processDiscuss and plan maintenance schedulesEnsure timeous fitting of equipment: tracking unit, bullet proof glass, vehicle brandingIdentify potential fleet problem areas/challengesManagement of all customer vehicle-related complaints..5. PERFORMANCE STANDARDSEnsure monitoring of motor vehicle accidentsEnsure maintenance and tracking and re-issuing of fuel cards at the correct intervalsEnsure required reporting is compiled accurately and distributed timeously to all relevant partiesEnsure that all vehicle and fleet monitoring tools are managed and actionedEnsure fuel card management and compliance to fuel card policyEnsure satisfactory and accurate records from service providersEnsure monthly reviews are conducted with Regional & Branch management on fleet performance and strategiesEnsure all necessary admin is completedEnsure accurate forecasting and cost reduction initiatives to increase profitability and contingency planningEnsure that asset allocations are correct and executesEnsure safety awareness programmes as per Zero Harm strategy are followedEnsure all vehicle accidents are investigated thoroughlyEnsure that process are followed with corrective actions, disciplinaries wrc. Wrt accidentsEnsure department is fully and appropriately staffed at all times with equipmentMaintain staff moraleEnsure training and development of team membersEnsure compliance to HR policies and procedures at all timesEnsure all fittings of equipment takes place as scheduledWe reserve the right not to make an appointment to any advertised position.
