Personal Assistant to the Director

RPO Recruitment seeks a proficient and proactive individual to serve as the Director's Personal Assistant. This role involves providing extensive administrative support, maintaining operational efficiency, and facilitating communication within the organization. The ideal candidate will exhibit strong organizational skills, adeptness in multitasking, and resourcefulness.Responsibilities:Managing and Scheduling the Director's online meetingsManage International Travel arrangements when neededKeep up to date with general communication on all platformsProperty Administration:Assist with Commercial and Residential Property Maintenance and getting quotes, reconciling monthly rentals received and statementsMaintain up-to-date and accurate records of properties, including lease agreements, property details, and tenant informationCoordinate property inspections and address maintenance issues promptlyWork closely with vendors and maintenance teams to ensure property upkeepCollaborate with property owners, tenants, and vendors to address inquiries and resolve issuesTimely preparation of legal files for debt handover and attention to detail in putting the necessary information togetherAssist with the maintenance and running of internal staffing officesDebt Collections and actively engaging slow-paying tenantsCollection reportsLiaising with Legal and Senior Management on approaches to trying to get slow-paying tenants to payFilter and relay messages, requests, and information effectively and in a timely mannerConduct research and compile data as requested by the DirectorSourcing for internal candidates as requiredPrepare reports and statsAssist in the planning and execution of special projects and initiatives as assigned by the DirectorCoordinate project timelines, tasks, and deliverables to ensure timely completionCollaborate with team members to gather necessary information and resources for projectsUndertake ad-hoc administrative tasks to support the smooth functioning of the organisationRequirementsProven experience as a Personal Assistant or similar role, preferably supporting senior executivesExceptional organisational and time management skills, with the ability to prioritise tasks effectivelyStrong written and verbal communication skills, with a keen eye for detailFinance Knowledge AdvantageousProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant softwareAbility to work independently with minimal supervision, while also functioning well in a team environmentFlexibility and adaptability to changing priorities and deadlinesTertiary qualification preferredReliable transport is requiredLocation: Atlantic Seaboard/ Cape Town City Centre SurroundsBenefitsThis is a full-time position based in Cape Town. The successful candidate will report directly to the Director and work closely with other members of the management team.
