Key Performance Areas: Organize and prepare for meetings. Provide daily support to the CEO and CFO. Responsible for general office administration. Manage boardroom bookings. Coordinate office events. Performance Standard: Ensure accurate and complete minutes of meetings held including but not limited to Board,EXCO, and OPCO meetings of the Company. Organize and prepare for meetings, including gathering documents and attending to logistics of meetings. Assist in the preparation and distribution of meeting agendas and materials. Maintain a travel workbook listing bookings made and costs incurred to date per cost center. Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material. Arrange meetings as requested by the CEO or CFO Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments. Answering and directing calls to appropriate executives and parties, taking messages. Ensure the completion of quarterly board packs and distribution thereof. Follow up with various department heads on reports and ensure that reports are submitted on time. Responsible for general office administration. Main contact person for any matters pertaining to the office building. Corporate property inspections and address maintenance issues promptly. Work closely with vendors and maintenance teams to ensure property upkeep. Manage boardroom bookings. Ensure boardrooms are maintained in terms of cleanliness and refreshments for meetings. Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed. Co-ordinate and arrange office events. Requirements Qualifications and Experience: Matric. 3- 5 years’ prior experience in supporting a senior executive or team. Computer Literate in Excel and MS Word (Intermediate to Advanced) BComm in administration. Strong planning and administration skills. Excellent written and verbal communication skills .
