Description Our client is currently looking to employ an Office Manager, based in East London. TOP VACANCY ALERT As the Office Manager, you will have overall management responsibility for the following areas: bookkeeping, administration, and general office management. A wonderful career opportunity awaits you. Requirements: Non-negotiable: Experienced administrator. Non-negotiable: Experienced office manager. Non-negotiable: Accounting/bookkeeping qualification. Non-negotiable: Management experience. Experience in the fuel industry, forecourt management, retail management preferred. Experience in stock ordering and receiving and general retail (grocery) store management preferred. Experience with Pick and Pay SAP software preferred. Experience with NAMOS fuel management software preferred. Experience with WinBranch fuel management software preferred. Responsibilities and expectations but not limited to: Manage all accounting transactions including daily sales reconciliations, accounts payable and receivable. Overseeing and managing the bookkeeping and administration team. Managing/performing reconciliations of: Cash on hand (daily), card sales transactions (daily), payments and accounts payable (monthly). Daily bookkeeping of transactions on site. Managing stock ordering, receiving and control processes. Prepare budget forecasts and manage financial planning for the truck stop operations. Manage and report on actual vs budgeted expenses. Ensuring timely bank payments and monthly financial analysis packs. Auditing financial transactions and documents to ensure accuracy and compliance. Compliance with financial policies and regulations. Coordination with Head Office and external auditors and preparation for audits to ensure compliance with required regulations. Implementing and maintaining internal controls over financial transactions and reporting. Contributing to cost reduction initiatives and financial efficiency improvements. Data capturing. Payroll processing, ensure accurate and timely processing of payroll. Assist with stock control processes as and when required. Administration and management of lease agreements. Analyse financial data and create reports for management, stakeholders, and external parties such as regulatory organizations. Prepare and circulate monthly report packs. Ensure the smooth running of the on-site back-office working closely with the operations manager and the junior and senior accountant and administrator. Any other duties that could reasonably be expected of an office manager and senior administrator.
