```htmlPersonal Assistant to Chairman, MD and Exec TeamLocation: Waterfront, Cape Town (Hybrid)Contract: 15 July 2024 – 30 December 2024Salary: R30,000 – R35,000 Per Month depending on relevant experience gained!Our Client, a Global Invest concern, is in search of a highly professional and experienced Personal Assistant to provide secretarial, client liaison, and travel arrangement support to their Chairman, MD, and Exec Team. One would describe you as being a highly organised, adaptable, resilient and solutions-oriented team player who is able to get along with all members of the organisation. You are a dedicated multi-tasker and strong communicator who places particular emphasis on accuracy and attention to detail. Further to this, you are action-oriented, numerically inclined with the ability to follow through with tasks until successful completion.Key Responsibilities:Diary Management:Responding on behalf of the Executive as and when required.Setting up internal & external meeting appointments.Securing adequate meeting space.Managing the diaries to prevent double bookings and promote productivity.Secretarial:Produce agenda and minutes for Board and team meetings.Compile, proof-read and send correspondence on Director’s behalf.Prepare, manage and format communication and correspondence.Proof-read documents to ensure accuracy of content and presentation.Answer or re-direct calls, emails, and inquiries as point person.Discretion and confidentiality.Managing databases and filing systems (including updated corporate governance documents and procedures, assisted by Company Secretarial services).Minute taking (as and when required).Organising events and conferences.Reminding the executive of important tasks and deadlines.Travel Arrangements:Book local and international travel for the manager and respective teams.Book accommodation, car hire, and transfers.Ensuring that travel time is maximised and productive.Visa applications.Book extended client travel logistics (i.e., Trustee and Board members).Update office calendar with dates of departure and arrival.Email itinerary.Expense Management:Completing personal expense claims.Processing & payments of supplier invoices for the assigned teams.Reconciling the corporate credit cards monthly.Assist with ad hoc duties that may be requested from time to time.Acting as a first point of contact: dealing with correspondence and calls.Qualifications, Skills and Expertise Required:Minimum Grade 12 and ideally with a Secretarial or related qualification.Minimum 5 years PA experience in an executive support role or C-suite exec level.Experience gained within the financial services / management consulting / legal / corporate environment is highly advantageous.Excellent MS Office skills – highly proficient in MS Outlook (including MS Teams), Word, Excel, and PowerPoint.Proven commitment to the highest level of customer/client service and confidentiality.Flexible and able to deal with change.Able to prioritise and manage multiple projects.Driver’s license and own transport.To apply for this role, please forward an updated and detailed copy of your CV to Lameez: lameezdelev8recruitment.co.za```#J-18808-Ljbffr
