Job Title Senior Officer (post level 9) (Job ID: 5765) Organizational Unit University of the Free State -> Vice-Rector: Academic -> Kovsie Phahamisa Academy Contract Type Permanent Occupational Level Junior Management Location Closing Date 13/6/2024 Description KINDLY TAKE NOTE: Applications may only be submitted online through the official UFS vacancy website: https://ufs.hua.hrsmart.com/hr/ats/JobSearch/viewAll - Applications submitted through any other platform will not be considered. Duties and responsibilities:• Check and approve budgets.• Facilitate overdrafts.• Create Item types for Short Learning Programmes.• Pricing of Short Learning Programmes on PeopleSoft• Facilitate Short Learning Programmes entity creation.• Reconcile Short Learning Programmes entities, including the correct allocation of funds and close out of the entity.• Manage T-Entities with regard to bursaries, contract offerings and the like.• Ensure that relevant journals with regard to T-entities are managed correctly (levy, certificates).• Manage the KPHA operational, certificate and licencing entity.• Ensure that Short Learning Programmes Owners are aware of financial policies and processes.• Train Short Learning Programmes owners on the use of the budgets.• Assist Short Learning Programmes stakeholders with day-to-day financial matters.• Assist the Short Learning Programmes Office with general matters.• Provide general day-to-day assistance to the Director.• Create purchase orders and requisitions and similar.• Liaise between the Finance department and Kovsie Phahamisa Academy.• Assist in the financial strategy and business case of the Kovsie Phahamisa Academy• Guide the KPA’s costing procedures to ensure a uniform feasible approach to Short Learning Programmes.• Manage the financial strategy and vision of the Kovsie Phahamisa Academy.• Manage the alignment of Short Learning Programmes, Kovsie Phahamisa Academy and the greater UFS (finance department).• Support and assist internal stakeholders with funding opportunities.• Assist in the reporting of the financial position of Short Learning Programmes at the UFS.• Assist in the reporting of the Kovsie Phahamisa Academy’s financial position.Inherent requirements:• Bachelor’s degree or an Advanced Diploma/B.Tech degree/Postgraduate Certificate on NQF level 7 or a 3-year National Diploma on NQF level 6.• A minimum of two (2) years’ relevant working experience relating to the duties and responsibilities.Recommendations:• Knowledge of PeopleSoft Finance System.Required competencies: • Results oriented.- The ability to cope with a frequently changing environment and to adapt to evolving situations. - The ability to be reliable, responsible, dependable and to fulfil obligations.• Strategic thinking.- The ability to focus on details, work towards perfection, and approach work in a neat and organised manner.- The ability to carefully analyse information and use logic to address issues and problems at work.• Business Acumen.- Proficient in using MS Office.- Knowledge of excel and word.• Leading.- The ability to maintain high levels of personal motivation, energy and enthusiasm.- The ability to be cooperative with others, display a good-natured attitude and encourage people to work together.• Building coalitions.- The ability to interact with others and establish personal connections with people.- The ability to make decisions through consultation, collaboration and working with close supervision. Please ensure that all relevant documentation is attached to your application. • A detailed curriculum vitae and cover letter. • Copies of qualifications (please provide the SAQA accreditation in the case of foreign qualifications).• A copy of your identity document (ID or passport in the case of foreign nationals).• Proof of registration with a Professional Body (if applicable).• A copy of your driver’s license (if applicable).• Confirmation of employment from current employer / last employer if unemployed (only applicable to external applicants).Assumption of duties:1 July 2024 or soonest.
