Purchasing Sourcing and procurement of maintenance, repair, operational and ad hoc requirementsCapture purchase requisitions and create purchase ordersDraft a scope of work when required with guidance from the relevant departmentsEnsure market related pricing of all goods and servicesRequest order confirmations for all orders placedFollow up with suppliers to ensure that orders are processed and delivered on time and in fullArrange documentation for COD and CIA purchases and submit to accounts for paymentBe aware of low supplies in Stores to ensure purchase orders are placed in advance of stock outsWork with internal stakeholders to determine and maintain inventory levelsMonitor potential stock out caused by delivery delays, strikes, material shortages etc. and take necessary actions to ensure availability of materialsRequest outstanding invoices and submit for receiptingPerform troubleshoot on all invoice and price issues along with delivery related problemsMonitor all returns to suppliers and coordinate with the Finance, Stores and Warehousing departmentsSuppliers Maintain effective relationship with internal and external stakeholdersEvaluate performance of all vendors and goods delivered and make recommendations to improve processes for the buying processManage all communication and negotiate with suppliers on price and other purchasing variablesEnsure all new suppliers comply with the vendor on boarding procedure and conduct relevant CIPC checkReporting, Data and Document GovernanceUpdate and maintain procurement master dataEnsure all procurement related documents are filed systematicallyKey performance areas (to translate into a measure of success) Stock TakesStock TransactionsEnsure execution of all functions to be at the highest level of quality with continuous identification and implementation of improvement initiativesMaintains a neat, tidy, and structured environment which complies with occupational health standardsEnsure a safe working environment by adhering to all Health and Safety policies. Identify any risk within the department and report these to your managerEnsure a proper filing system of all required documentation for auditing purposesBuild and maintain highly professional relationships with co-workers and suppliersComply with business policies and proceduresStock Takes Ensure stock takes are performedMaintain an accurate record of all active warehouses to ensure monthly counts are performedKeep filing system of all approved and signed off stock countsTransfer stock to branches, warehouses, and mobile vansProcessing of warehouse transactionsInternational Invoices preparationEnsure sign off on all relevant invoices prior to hand in to Finance for paymentComply with business system policies and procedures and ensure that such are enforced and adhered toAd-hocEnsure compliance with company policy and procedure.Provide additional support to the team as required.Desired Experience & QualificationExperience: 2 years’ Experience in maintenance or inventory environment as data capturer or administrator (Procurement)2 years’ Experience in administrative tasks and implementation of auditable filing systems2 years’ Experience in a parts store2 years’ Experience in dealing with suppliersKnowledge of Pastel evolution will be advantageousGeneral Mechanical and electrical knowledgeMust have knowledge of: MS Office Excel and WordStock processing/administering knowledgeGood knowledge of Stock taking procedures and principlesSkills: Acceptable English verbal, reading and written skillsStrong administration and coordination skillsFast learner of processes, procedures, and systemsStrong communication skills with the ability to communicate at all levels within the companyKnowledge sharing abilitiesAbove average attention to detail
